Lumiel Ltd ("we", "our", or "us") is committed to protecting and respecting your privacy. This policy explains how we collect, use, process, and protect your personal data when you visit our website (www.lumiel.uk) and interact with the Lumiel AI Agent.

For the purposes of the UK General Data Protection Regulation (UK GDPR), Lumiel Ltd is the data controller.

01.Information We Collect About You

We may collect and process the following data about you:

  • Information you give us: This includes information you provide by filling in forms on our site, subscribing to services, or contacting us.
  • Lumiel AI Agent Queries: When you input text queries into the Lumiel AI Agent, we process the text provided. These queries may dynamically contain personal data (such as names of approved individuals, sole traders, or company directors) when you search the Financial Conduct Authority (FCA) register data.
  • Chat Usage Logging: To enforce a fair-use limit on the Lumiel AI Agent (3 questions per IP address every 7 days), and to help us understand which regulatory topics our visitors are most interested in, we store the text of each question you ask, the IP address it came from, and the timestamp. We do not store the AI's answers, and we do not link this data to your name or email unless you separately contact us.
  • Technical Data: We automatically collect details of your visits to our site, including traffic data, location data, weblogs, IP addresses, browser operating systems, and the resources that you access.

02.How We Use Your Information

  • To operate the Lumiel AI Agent: To process your real-time search queries and fetch corresponding dynamic regulatory data via the third-party FCA API.
  • To enforce fair use: Your IP address is used to count how many questions you have asked in the last 7 days, so that the agent can apply its 3-question limit.
  • To improve the Lumiel AI Agent: We review the questions visitors ask (in aggregate, without answers) to understand demand patterns and improve the topics the agent covers.
  • Model Training Exclusion: We strictly do not use personal data or corporate search queries entered into the Lumiel AI Agent to train, optimize, or fine-tune our underlying AI models.
  • Website Improvement: To ensure that content from our site is presented in the most effective manner for you and your device.
  • Legal Basis for Processing: We process this data based on our legitimate interests in providing informational tools to businesses, in protecting the service from abuse, and where necessary, to fulfill an interactive service request initiated by you.

03.Data Retention and Security

  • Question Logs: The text of questions asked of the Lumiel AI Agent, together with the originating IP address and timestamp, is retained for up to 12 months for fair-use enforcement and aggregate analytics, after which it is purged. The AI's answers are not stored at any point.
  • Security Infrastructure: All data transmitted to and from our website, including Lumiel AI Agent interactions and API calls, is encrypted in transit using Secure Sockets Layer (SSL/TLS) technology.

04.Disclosure of Your Information

We do not sell, rent, or distribute your personal data to third parties. We may disclose your personal information to third parties only in the following circumstances:

  • To cloud infrastructure and software hosting providers, and, where engaged, vetted delivery partners assisting on specific advisory engagements, under strict confidentiality and data processing agreements.
  • Cloudflare Turnstile (bot protection): We use Cloudflare Turnstile on the Lumiel AI Agent and contact forms to prevent automated abuse and keep the tools available to genuine users. Turnstile runs invisibly in the background and may process limited technical signals for the sole purpose of distinguishing humans from bots. This processing is not used for advertising. See the Cloudflare Turnstile Privacy Addendum.
  • If we are under a duty to disclose or share your personal data to comply with any legal or regulatory obligation.

05.Your Rights Under UK GDPR

Under the UK GDPR, you have the following rights regarding your personal data:

  • The right to access: You can request a copy of the personal data we hold about you.
  • The right to rectification: You can ask us to correct inaccurate data.
  • The right to erasure ("Right to be forgotten"): You can request that we delete your data.
  • The right to restrict or object to processing: You can object to us processing your data under certain conditions.

To exercise any of these rights, please contact us at our registered business address or via our website contact channels.
